By creating an account, signing in, or submitting an application through the Edutine Student & Staff Portal ("the Portal", "we", "us"), you agree to the following terms. Please read them before continuing.
1. Who this applies to
These terms apply to everyone who uses the Portal or applies through it, including students, parents/guardians who assist a student, tutor applicants, tutors, and Edutine staff, officers, and board members across all chapters.
2. Acceptable use
You agree to use the Portal only for its intended purpose - coordinating tutoring, volunteer activities, and Edutine chapter operations. You will not share your login credentials, impersonate another user, misrepresent your identity or qualifications in an application, or attempt to access accounts, chapters, or data you are not authorized to view.
3. Code of conduct
Edutine connects student volunteers with student learners, including minors. All users must communicate respectfully and professionally at all times. Harassment, discrimination, or inappropriate contact of any kind will result in immediate removal from the Portal and the organization, and may be reported to a parent/guardian, law enforcement, or another appropriate authority where required by law.
4. Volunteer nature of tutoring; no professional advice
Tutoring provided through Edutine is delivered by student volunteers on a best-effort basis for general educational support only. It is not a substitute for professional educational, therapeutic, medical, psychological, or legal services, and nothing provided through the Portal constitutes professional advice of any kind. Edutine does not guarantee specific academic outcomes, grades, test scores, or admissions results.
5. Information we collect and how we use it
We collect the information you provide directly (name, email, phone number, school/grade, application responses, messages, volunteer hours, notes, and similar records) as well as usage and analytics data collected automatically when you use the Portal - for example, pages and tabs visited, actions taken (such as approvals, sign-offs, and submissions), device/browser type, IP address, and timestamps. This is used to operate, maintain, secure, and improve Edutine's tutoring and volunteer programs, to match students and tutors, to measure program impact for grant and reporting purposes, and to keep an audit trail of approvals and account activity.
6. Data retention
We retain account and program records for as long as your account is active and for a reasonable period afterward as needed for recordkeeping, grant reporting, safety, and legal purposes (generally up to seven years following your last activity, or longer if required by law, a pending dispute, or a legitimate business need). Some information - such as approval records, volunteer-hour sign-offs, and safety-related records - may be retained longer than other data even after an account is deactivated. You may request deletion of your personal information by emailing tutor@edutinereachout.com; we will honor such requests except where retention is required for legal, safety, or accounting purposes.
7. Sharing of information
We do not sell your personal information. Information is shared only with Edutine staff, officers, and board members who need it to operate the program, and with service providers (such as our hosting and authentication providers) who process it on our behalf under confidentiality obligations. We may disclose information if required by law, subpoena, or court order, or to protect the safety of any person.
8. Children's privacy
The Portal is used by students who may be under 18, with the involvement of a parent or guardian where appropriate. If you are a parent or guardian and believe your child has provided information beyond what is necessary for participation in the program, contact us at tutor@edutinereachout.com and we will address it.
9. Account responsibility
You are responsible for keeping your password secure and for all activity under your account. Notify an Edutine staff member immediately if you believe your account has been compromised.
10. Disclaimer of warranties
The Portal and all tutoring and volunteer coordination services are provided "as is" and "as available," without warranties of any kind, whether express or implied, including any implied warranties of merchantability, fitness for a particular purpose, accuracy, or non-infringement. Edutine does not warrant that the Portal will be uninterrupted, error-free, or secure.
11. Limitation of liability
To the fullest extent permitted by law, Edutine, its officers, directors, employees, and volunteers will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, goodwill, or academic outcomes, arising from your use of the Portal or participation in Edutine's programs, even if advised of the possibility of such damages. To the extent any liability is not excludable under applicable law, Edutine's total liability for any claim arising out of or relating to the Portal or these terms will not exceed one hundred dollars ($100).
12. Indemnification
You agree to indemnify, defend, and hold harmless Edutine and its officers, directors, employees, and volunteers from any claims, damages, losses, liabilities, and expenses (including reasonable attorneys' fees) arising out of your use of the Portal, your violation of these terms, or your violation of any rights of another person, except to the extent caused by Edutine's own gross negligence or willful misconduct.
13. Termination
Edutine may suspend or terminate your access to the Portal at any time, with or without notice, for conduct that violates these terms, poses a safety risk, or for any other reason at Edutine's discretion. You may stop using the Portal and request account deletion at any time by contacting us.
14. Governing law and disputes
These terms are governed by the laws of the State of California, without regard to conflict-of-law principles. Any dispute arising out of or relating to these terms or the Portal will be resolved on an individual basis, and you agree to first attempt to resolve any dispute informally by contacting tutor@edutinereachout.com before pursuing formal legal action.
15. Electronic communications
By using the Portal, you consent to receive communications from Edutine electronically (including email and in-Portal notifications), and agree that such communications satisfy any legal requirement that they be in writing.
16. Severability & entire agreement
If any provision of these terms is found unenforceable, the remaining provisions will remain in full effect. These terms constitute the entire agreement between you and Edutine regarding use of the Portal and supersede any prior agreements on this subject.
17. Changes to these terms
Edutine may update these terms as the Portal and our programs evolve. Continued use of the Portal after an update constitutes acceptance of the revised terms.
